The Central Coast 4WD Club Inc. is committed to protecting the privacy of its members, associates, and participants. We collect, hold, use, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and applicable New South Wales legislation, including the Associations Incorporation Act 2009 (NSW).
1. Why We Collect Your Personal Information
We collect personal information to enable the proper operation and administration of the Club, including to:
- Process membership applications and renewals.
- Maintain the Club’s membership register and records as required by law.
- Communicate with members about meetings, events, trips, training, and Club news.
- Organise and manage Club activities, including four-wheel drive trips and social events.
- Arrange insurance cover and manage incident reports or claims.
- Comply with legal and regulatory obligations and lawful requests from authorities.

The personal information we may collect includes, but is not limited to:
- Full name
- Postal and/or residential address
- Email address and phone number
- Vehicle details (where relevant to Club activities)
- Emergency contact details
- Membership status and participation records
We only collect personal information that is reasonably necessary for the Club’s functions and activities.

We may disclose personal information in the following circumstances:
- Club Committee and Volunteers: For the purpose of administering the Club and its activities.
- Insurers: To arrange insurance cover or manage claims relating to Club activities.
- Event or Trip Coordinators: Where necessary to organise events or manage safety and risk.
- Government Authorities or Regulators: Where required or authorised by law.
- Content Sharing: to facilitate the sharing of photos and media from club events on platforms such as Facebook or in the Club magazine.
We do not sell or rent personal information to third parties.

Personal information is stored securely, either electronically or in physical form, and reasonable steps are taken to protect it from misuse, loss, unauthorised access, modification, or disclosure.

If you have any complaints about our privacy practices, please feel free to send in details of your complaints to secretary@cc4wdc.org.au. We take complaints very seriously and will respond shortly after receiving written notice of your complaint.

Please be aware that we may change this Privacy Policy in the future. We may modify this Policy at any time, in our sole discretion and all modifications will be effective immediately upon our posting of the modifications on our website or notice board.
